PRIVACY STATEMENT AND INFORMATION WE COLLECT ABOUT OUR VISITORS

In line with the new EU law covering data protection (GDPR) that is coming into force on May 25th 2018, we have updated this privacy statement and you are encouraged to read it fully to ensure you are aware of the data we collect and hold and how this is used.  If you have any concerns or queries about this then please contact us via e-mail support@excalibur-games.com

You should also be aware that this law will be adopted by the UK government following our exit from the European Union.

 

USE OF PERSONAL DATA

The following information details how we use your personal data.

 

WHEN YOU VISIT OUR WEBSITE

As you browse the site we collection information about the individual web pages or products that you view.  Although this information does not identify your name it will track your IP address.  We refer to this automatically collected information as “Device Information”. 

We collect Device Information using the following technologies:

“Cookies” are data files that are placed on your device or computer and often include an anonymous unique identifier.  For more information about cookies including how to disable cookies, visit www.allaboutcookies.org

“Log files” track actions occurring on the Site, and collect data including your IP address, browser type, Internet service provider, referring/exit pages, and date/time stamps.

 “Web beacons”, “tags”, and “pixels” are electronic files used to record information about how you browse the Site.

We do not share your personal information with third parties but will only share personal information if we are required to do so by law.

 

WHEN YOU PLACE AN ORDER ON OUR WEBSITE

When you make a purchase or attempt to make a purchase through the Site, we collect certain information from you, including your name, billing address, shipping address, payment information (including credit card numbers or PayPal information, email address, and phone number. We refer to this information as “Order Information”.  We use this information to process your order. 

If we ask for a telephone number this is only to contact you in case of a query about your order.  Your order details will be held indefinitely unless a request is made to delete it.  If you wish to have your order data deleted you must bear in mind that under legal requirement it will must be held for a minimum of 180 days.  Deleting your order details will result in the loss of your record of purchase and if you need further downloads – for example if you change your computer – we will be unable to provide them without a copy of a purchase receipt from you.

There is also an option for you to opt in to receive e-mails from us.  You must check the opt-in box to do so.  If you choose to opt in and then change your mind you can update this by logging into to your account or by e-mailing us to unsubscribe you from the newsletters.  We only contact you via e-mail and do not use postal direct mail at any time. 

We use your information to communicate with you, screen our orders for risk or fraud, if you have elected to, send product information.

 

WHEN YOU FILL IN A CONTACT ENQUIRY FORM VIA OUR WEBSITE

Where enquiries are submitted to us via the website we will only use the information supplied to us to deal with the enquiry and any subsequent issues relating to your initial enquiry.  We do not store your personal details submitted using this service. 

 

WHEN YOU SUBSCRIBE TO OUR MAILING LIST

Signing up to our e-mail newsletter requires a positive opt-in from yourself.  When you sign up for our e-mail newsletter via the online form, we will only use the information supplied to add you to our database as requested. You can opt out of our e-mail newsletter at any point by clicking the ‘Unsubscribe’ footer on any of our e-mail newsletters, or by contacting us using the details on our website.

We do not and never have shared personal data with any third party. The information you give us is used only for our own direct marketing purposes such as sending you e-mails about products we believe you will be interested in.  

 

WHEN YOU REGISTER YOUR PRODUCT WITH US

We have always encouraged our customers to register their products with us.  There are benefits directly related to doing this which include secure records of your serial keys should you mislay them or need them again if, for example, you purchase a new computer.  This information is encrypted and held securely by us.  We will also use your e-mail address to contact you about updates to the products you have purchased and include you in our newsletter.  To comply with the new GDPR law when you register your product with us you will be asked to opt-in to e-mail newsletters.  If you choose not to receive e-mail newsletters then we will simply hold your details but we will not send you any marketing information.  If you have already registered your product you can log in to your account and change your preferences or you can do this by e-mailing us info@excalibur-games.com putting UNSUBSCRIBE in the subject line.  Please be sure to include your name and address and the e-mail address you have listed with us.

 

YOUR RIGHTS

Under the new GDPR law you have rights you can exercise, these are:

Right to be forgotten – this means you can request that we delete all data that we hold about you.  You will need to put this request in writing to us via the post or by e-mail. Please bear in mind that we cannot delete data that is associated with a pending order or an order less than 180 days old as this information is required under our legal obligations. After this time your personal data will be erased however the non-personal data such as the revenue and item transaction will be kept. This information will not be linked to you personally.

Access – you can request that we supply you with the data that we hold about you.  We have 30 days to comply with this request unless there is a reason why we cannot disclose within this timeframe.  We will let you know in the unlikely event that we need a longer window.

Rectification – you can request that we amend your data if there are inaccuracies or incomplete information.

Security – you can expect that any data we hold about you is secure.  We only process data using HTTPS so that all data passed between our website and server is encrypted.

 

IMPORTANT INFORMATION

If you are a European resident, we are processing your information in order to fulfil order contracts with you.  You must note that your information will be transferred outside of Europe, including to Canada and the USA.

 If you have purchased one of our products from a company other than ourselves – such as Amazon, Steam and other retail outlets and digital platforms – you must check the privacy policy of that particular organisation.  We do not have access to your details if for example you purchased your product from Amazon, we only have the information you give us if you register your product with us. You must satisfy yourself that you are fully aware of the privacy policies of the organisation you are purchasing from bearing in mind that they may not be based within the EU and therefore not subject to EU and UK law.
